PRACTICAL GUIDE

How many ATM withdrawals would cover your monthly costs?

A busy store does not automatically make a viable ATM location. The useful question is how many completed withdrawals would cover the costs your business actually carries. Build that estimate before comparing an equipment purchase with a managed placement. The method below produces a planning threshold, not a prediction of demand or an offer of placement.

Start with the amount you retain

Write down the proposed surcharge and the portion your business would retain after the arrangement’s deductions. If a hypothetical agreement gives your business 50 percent of a $3 surcharge, the starting contribution is $1.50 per completed withdrawal. Ask whether processing charges, minimums, adjustments, or other deductions reduce that amount. A headline percentage is incomplete without its calculation base.

Use completed transactions rather than foot traffic. Visitors who do not need cash, cancel, or cannot complete a withdrawal do not contribute the assumed surcharge proceeds. Keep those counts separate when reviewing actual reports.

Turn monthly costs into a threshold

List recurring expenses assigned to you: connectivity, maintenance provision, insurance, equipment financing, and any other applicable charges. Separate fixed monthly costs from per-transaction costs. Divide fixed costs by the amount retained per withdrawal after variable charges. If that retained amount is zero or negative, higher transaction volume cannot solve the model.

For a fictional illustration, $150 in fixed monthly costs divided by $1.50 retained per withdrawal gives 100 withdrawals to cover those listed costs. This is not an industry benchmark. Taxes, unlisted expenses, and the value of occupied space can change the result.

Keep cash funding on a separate line

Cash loaded into the machine is a funding requirement, not the same thing as monthly operating expense. Ask who owns the cash, who replenishes it, how reconciliation works, and who carries loss responsibility. Do not publish replenishment schedules or sensitive access details in an enquiry.

A model can show positive monthly contribution while requiring more cash or staff attention than the business can support. Record that constraint alongside the break-even count. A managed proposal should state explicitly which cash and service responsibilities remain with the location.

Test a quiet month and a service interruption

Use ATMRite’s ATM economics explorer with a conservative withdrawal count, then lower it again. Try an additional service expense or several days without transactions. Record the monthly result and the assumption responsible for the biggest change. This makes the conversation more concrete than asking whether an ATM is profitable in general.

Before installation, discuss fee presentation with the operator using the CFPB’s official ATM disclosure rule. Review accessibility with the responsible installer or qualified adviser using the Access Board standards. A financial model does not establish that the equipment or location meets applicable requirements.

Decide what evidence would change your answer

Gather a dated count of customer requests for cash and note nearby alternatives and operating hours. Ask the proposed operator what evidence supports its volume assumption and whether you will receive reports sufficient to check it. Agree on the review period and the consequences of persistently low demand.

Take a one-page summary to the placement conversation: retained amount, listed costs, break-even count, funding responsibility, and downside case. Keep unresolved assumptions visible. ATMRite provides preparation resources; equipment, approval, price, and service arrangements require a separate written agreement.

Turn the question into a useful brief.

Try the ATM economics explorer, then send a placement-preparation enquiry with your business type, general location, and open questions. Do not send cash schedules or account information.

ATM information and enquiry preparation. Equipment availability, placement approval, pricing, and service scope require a separate written agreement.
